1. Who we are

Ven-Fin Tour is the data controller for the personal data described in this policy.

2. What data we collect

• Enquiries: your name, email address and the content of your message when you use the “Request a Quote” or question forms, or contact us by email, phone or WhatsApp.
• Bookings: the details needed to arrange your trip, such as the names of travellers, contact details, travel dates, room and accommodation preferences, and children’s ages where relevant.
• Website usage: cookies and similar technologies, only as described in our cookie settings (see section 7).

We do not ask for more information than we need to answer your enquiry or arrange your booking.

3. Why we use your data

• To answer your questions and prepare offers (steps taken at your request before a contract, GDPR Art. 6(1)(b)).
• To make and manage your booking with hotels, cottage owners, excursion and transfer providers (performance of a contract, Art. 6(1)(b)).
• To keep accounting records required by Finnish law (legal obligation, Art. 6(1)(c)).
• To measure and improve our website and advertising, only if you have given consent through our cookie settings (consent, Art. 6(1)(a)).

We do not sell your personal data.

4. Who we share it with

• Travel service providers (hotels, cottage owners, excursion and transfer companies), only the data needed to provide the services you have booked.
• IT service providers that host our website and email. Some of them, such as Google, may process data outside the EU/EEA. In that case the transfer is protected by the EU Standard Contractual Clauses or another safeguard approved under the GDPR.
• Authorities, where we are required to do so by law.

5. How long we keep it

• Enquiries that do not lead to a booking: deleted within [12] months.
• Booking and accounting records: kept for the periods required by the Finnish Accounting Act.
• Cookie data: as set out in the cookie settings.

6. Your rights

You have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data deleted, where we are not legally required to keep it;
• restrict or object to processing;
• receive your data in a portable format;
• withdraw consent at any time, for example through “Consent Preferences” on this website.

If you believe we have handled your data unlawfully, you can lodge a complaint with the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).
